Set up uKeep for Salesforce
App: uKeep · Developer: Willowcy · Package version 1.0
uKeep sends the business cards your team scans to Salesforce as Leads, with their notes. A Salesforce admin installs it once for the org; then each person connects it from the uKeep app. What uKeep for Salesforce does.
1. Install uKeep in your org (admin, once)
Email hello@ukeep.me from your work address and we’ll send you the install link for your org.
By default, every user in the org can then connect uKeep. To choose who can, go to Setup → External Client App Manager, open uKeep, and edit its policies.
2. Connect uKeep (each person, once)
- Open uKeep and go to Profile.
- Tap Connect next to Salesforce, log in on Salesforce’s own page and tap Allow.
- On any card, tap Send to Salesforce. Open in Salesforce takes you to the Lead.
If your org hasn’t installed uKeep yet, the app says so when you connect. An admin can install it right there; anyone else can tap Send the link to my admin.
What gets sent
By default, each card becomes a Lead with the name, company, title, email, phones, website and address read from the card. The newest note on the card goes into the Lead’s description, with the date you captured it, and is logged as a completed activity, so it shows in the activity timeline. The Lead source is set to Other. Only the cards someone sends are sent; nothing goes automatically.
If an open Lead or a Contact already has the same email, uKeep adds the note to that record instead of creating a second one.
Each person can change this in uKeep, under Profile → Salesforce settings:
- A new card becomes a Lead, or a Contact under the Account of its company (created if it doesn’t exist).
- Your note goes to the activity timeline, Salesforce Notes, or the description only. If your org has Notes turned off, the note goes to the activity timeline instead.
- Lead Source: any value from your org’s own list.
- Already in Salesforce: add the note to the existing record, or always create a new one.
- After sending: stay in uKeep, or open the record in Salesforce.
What uKeep can access
- uKeep asks Salesforce for API access, your identity (name, username and org) and permission to stay connected. It acts as you, so it can only see and change what your Salesforce user already can.
- It reads your org’s name once, when you connect, and your Lead Source values when you open its settings. Otherwise it only reads Leads, Contacts and Accounts to find a match, creates the Lead or Contact (and its company’s Account), and adds your note and an activity to it. It doesn’t read or change anything else.
- Your Salesforce password never reaches uKeep: you log in on Salesforce’s page. uKeep keeps the token Salesforce gives it, encrypted on our servers, so you don’t log in for every card.
- Your org needs API access, which Enterprise, Unlimited and Developer Edition include.
Disconnecting
In uKeep, go to Profile and tap Disconnect next to Salesforce. uKeep revokes its token in Salesforce and deletes it from our servers. Leads already sent stay in Salesforce. An admin can disconnect uKeep for everyone by uninstalling the package.
What’s new in 1.0
- Connect uKeep to your Salesforce org with your own login.
- Send scanned cards to Salesforce as Leads, with your notes.
- Cards for someone already in Salesforce add the note to the existing Lead or Contact instead of creating a duplicate.
- Your note is logged in the activity timeline. Settings in uKeep for Lead or Contact, where the note goes, Lead Source and duplicates.
